About the Role
The Project Accountant / Accounting & Operations Associate supports the financial, administrative, and operational activities of multiple projects. This role partners closely with project teams, vendors, and internal finance leadership to ensure accurate financial tracking, timely billing and payments, and well-organized project documentation.
The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, collaborative environment with multiple stakeholders.
Key Responsibilities
Project & Financial Accounting
- Support project teams with preparation, review, and processing of project billing and client invoices.
- Track project budgets, commitments, change orders, and forecasted costs to completion.
- Maintain accurate project cost records and ensure proper coding of invoices, expenses, and labor.
- Assist with funding requests, reimbursement packages, or draw submissions, including compiling supporting documentation.
- Reconcile project billings, retainage, and cash receipts.
- Monitor contract compliance, documentation requirements, and approvals.
Accounts Payable & Financial Support
- Review and process vendor invoices and payment requests.
- Match invoices to contracts or purchase orders and verify required approvals.
- Monitor open payables and assist with payment scheduling aligned to cash flow.
- Support general accounting activities including reconciliations and reporting as needed.
Project Administration
- Maintain organized project files for contracts, purchase orders, change documentation, and approvals.
- Assist with project closeout documentation and records retention.
- Support compliance with insurance, licensing, regulatory, and internal requirements.
Communication & Coordination
- Serve as a financial liaison between accounting, project teams, vendors, and external partners.
- Respond to inquiries related to project status, billing, payments, and documentation.
- Ensure clear and timely communication to support project timelines and financial accuracy.
Qualifications
- Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent experience considered.
